Every quarter the accounting team at a multi-fund real estate investment manager built a management report on unrealized gains and losses by fund, property type and region.
It meant pulling 18 separate exports from the accounting system, stitching together a separate valuation file for every fund, matching asset names that did not agree across sources with Excel lookups, and applying a set of judgment calls by hand: which valuations count as external, which assets are excluded. About 12 hours of careful, repetitive work each quarter, with plenty of room for a formula or typing error, and no easy way to explain a variance without rebuilding the workbook.
I replaced the 18 exports with one query, wrote a script that combines every fund's valuation file, and built a master mapping table so an asset is the same asset in every source. The team's unwritten rules got written down and coded, so they are applied the same way every quarter and do not depend on one person remembering them. The calculation runs in code and the output can be drilled into to explain variances. Every line in the rebuilt report ties to the original. The 12 hours a quarter is now a 30-second run plus about 30 minutes of review. No formula or typing errors.
